ISKA PMS

ISKA PMS — reservations, check-in and bills for a small hotel or guest house

Room calendar, enquiries, check-in, bills, a simple cash desk and invoices — on the computer and on the phone. One property, rooms only.

What it does

An enquiry does not hold a room.

An enquiry from the website, from ISKA Assistant, by email or by phone waits for a member of staff. The room is held when you confirm it. If you wish, you can allow direct booking from the website and from ISKA Assistant (both switches are off by default): the guest gets a confirmed reservation, without an advance payment.

Room calendar.

Rooms by date, with no overlap. The day of departure allows a new arrival. Repairs — a blocked period.

Reception.

Arrivals, in the hotel, departures. Check-in and check-out from the phone.

Bill and payments.

Nights and services, advance payments and further payments, balance. You record the payments you have received — in cash, by card or by bank transfer. “Card” is a note that the guest has paid outside the PMS.

Simple cash desk.

Cash movements, daily closing and difference.

Invoices.

To a guest or company, without re-entering the charges. Issuing is switched on after the data has been confirmed with the property's accountant.

Register and ESTI.

Checked-in guests and a file that you download and upload to ESTI manually.

Housekeeping and roles.

Manager, reception and limited access for housekeeping — no money and no documents.

Two perspectives

Business benefits

  • an enquiry does not hold a room until a member of staff confirms it
  • the calendar does not allow two reservations in one room
  • bill, advance payment and balance in one place — no notebook
  • the ESTI file is prepared from the register, not by hand

Guest benefits

  • a quick answer to the enquiry — the room is checked, not promised
  • check-in without waiting — the details are entered in advance
  • a clear bill: nights, services, advance payment and balance
  • an invoice to their company without re-entering the details

How it works

  1. 1

You enter the rooms and prices

Room types, number and capacity, prices by period. Child policy and extra charges — once, not for every reservation.

  2. 2

    You receive enquiries and reservations

An enquiry from the website, from ISKA Assistant, by email or by phone waits for a member of staff; a confirmed reservation holds the room in the calendar with no overlap.

  3. 3

You check guests in and out

Arrivals, in the hotel, departures — from the computer or the phone. A vacated room is marked for cleaning and is ready for the next guest.

  4. 4

    You settle the bill

Nights, services, advance payment and balance in one place; a cash or card payment is recorded; an invoice to a guest or company without re-entering the details; a file for ESTI from the register.

      Questions and answers

      What is ISKA PMS?

A reservation and reception system for small hotels and guest houses: calendar, enquiries, check-in, bill, cash desk and invoices.

Does an enquiry hold a room?

No. The room is held when a member of staff confirms the enquiry — or when you have allowed direct booking for the channel.

What do “confirmed”, “paid” and “checked in” mean?

Three separate things: “confirmed” is the reservation, “paid” is a payment that has been received, “checked in” is a guest who is in the room.

Does it issue a till receipt?

No. For a payment that requires a receipt, the receipt is issued outside the PMS.

Does it submit data to ESTI?

It prepares a file that a member of staff uploads manually. The status is “Exported” — this means the file has been downloaded, not that it has been accepted.

      Does it accept online payments?

Not in Phase 1. You record payments that you have already received.

Does it connect to Booking.com or Airbnb?

It can import the occupied periods from a room's external calendar (iCal); the link is one-way.

Is it suitable for a large hotel?

It is built for small and medium-sized properties, and for a single property.
